The Problem

A major national healthcare organization, with a presence in over 40 markets, sought to standardize disparate technologies and equipment across acquired facilities to one electronic medical record system. This initiative required a thorough, security-centric, collaborative approach to integrate multiple, previously independent platforms and protocols. 

Bringing together its IT infrastructure while mitigating risks and creating standardization across operations was paramount. After several large acquisitions, enhancing efficiencies and relieving complex technology dependencies became imperative to move the organization forward as one cohesive, interconnected entity.   

Major challenges included the variety of legacy systems, inadequate post-conversion support and the need for a highly customized solution and forward-looking roadmap to accommodate the disparate technology stack. The solution also needed to account for security, patient data and the patient experience throughout the transition.

The Solution

Vaco assembled an IT managed services team dedicated to the client’s initiative to standardize and streamline its network infrastructure. The incumbent system was bifurcated and, therefore, the team began by building a comprehensive playbook to inform the future state of the client’s IT environment.  

Applying a two-pronged approach, we reconciled the existing corporate standard with the new hospital inpatient scope, and meticulously documented every step. We navigated through diverse Cisco networking and Microsoft Active Directory systems, healthcare applications and server migrations, while rationalizing and optimizing the tech stack. This enabled the evaluation, remediation and elimination of tech bloat, resulting in significant operational savings and improved efficiency for the organization. Vaco’s recruitment strategy – which included tapping into a pool of veteran talent who have operated in similar disparate technology environments within healthcare – coupled with strategic leadership and tailored technical expertise, has been instrumental in mitigating risks, delivering exceptional value and remaining agile to the evolving project scope and requirements.

The results of which enhanced the overall operational effectiveness of the healthcare organization, including newly acquired hospitals.
  • Operational efficiency and incident prevention: Implemented changes without any major incidents, demonstrating meticulous planning and execution while creating operational efficiencies. Maintained the integrity and stability of systems during and post-migration.
  • Seamless computer migration: Successfully migrated hundreds of computers within a short timeframe (72 hours), highlighting the effectiveness and efficiency of the migration process and the expertise applied to ensure a smooth transition.

The positive feedback from the client emphasized Vaco’s thorough approach, effective communication and adherence to a well-defined process that ensured system stability during and post-migration. 

Due to the success of the initial 24-month engagement, the project has expanded to encompass additional hospitals.
